ACCESSING SISC ARCHIVES

SISC has collected material that traditionally used to be kept as paper in physical filing cabinets. This material makes up the club’s corporate memory or archives; it includes current and historical material. It is now in electronic format and stored in two main electronic locations (cloud storage) – the website and Dropbox. These two locations are complementary.  Most material that members might want to view is on the website.  Items that need a higher level of security and/or are in editable form are stored in Dropbox. Both locations can be considered as electronic filing cabinets that can be accessed, some only with permission.

Website (think of this as a filing cabinet or bookcase where members and the public can browse at will, with some drawers locked with a key that all members possess)

  • Used to store static non-editable material (generally PDFs). Some material is available to the general public. Other material is only available to members at the logged-in level (meeting minutes, financial statements, Club forms, archival copies of Telltales, Yearbooks, Crowsnest, etc.)
  • Offers cloud storage/viewing – members can view and download, but cannot edit or upload.

Dropbox (think of this as a locked filing cabinet in an office, where one or two people have the key and can open it for you if requested)

  • Used to store:
    1. Editable versions of material stored on the website, but only if that material may need to be updated periodically. Examples are club constitution, bylaws, forms, etc.
    2. Material not generally of common interest to members but available on request (generally by the Board or committees). Examples are legal records, club signage, contracts, etc.
    3. Scanned versions of important paper documents and planning records from large projects like marina refurbishing.
    4. Historical documents that Board members consider useful and worth keeping. Examples are documents such as updated handbooks that might be provided at the end of a Board member’s tenure.
  • Can offer cloud storage/viewing/editing but there are restrictions on access. Members can request access through the process outlined below.

To summarize, everyone can see some information on the website just by browsing. Club members can gain access to other files and information on the website simply by logging in and using the Member Resources pulldown menu. Club members can also request access to the more secure information on Dropbox. In both locations, access is view/read only, which means you can read files, download them and print them, but you cannot make changes (or edit) in either location or upload to them.
